We at Strand Veterinary Practice understand that your privacy is important to you and that you care about how your personal data is used. We respect and value the privacy of all of our clients and will only collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.

When you register with the Practice, request treatment for your animal, contact the practice by email, telephone or in writing we will collect and process personal information about you.

We understand the importance of looking after the Personal Information that you provide and this notice sets out what Personal Information we collect, why we need to collect it, how we will use it and how long we will store it for.

2. What Does This Notice Cover?

This Privacy Information explains how we I use your personal data: how it is collected, how it is held, and how it is processed. It also explains your rights under the law relating to your personal data.

 

3. What is Personal Data?

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679) (the “GDPR”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

The personal data that we use is set out in Part 5, below.

 

4. What Are My Rights?

The General Data Protection Regulation grants all data subjects the following rights without charge. These include the right to:

  • Fair processing of, and transparency over how your Personal Information is used;
  • Access your Personal Information and to certain other supplementary information that this Privacy Notice is already designed to address;
  • Require us to correct any mistakes in your information which we hold;
  • Require the erasure of Personal Information concerning you in certain situations;
  • Receive the Personal Information concerning you which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit that data to a third party in certain situations;
  • Object at any time to processing of Personal Information concerning you for direct marketing;
  • Object to decisions being taken by automated means which produce legal effects concerning you or similarly significantly affect you;
  • Object in certain other situations to our continued processing of your Personal Information;
  • Otherwise restrict our processing of your Personal Information in certain circumstances.

If you would like to exercise any of your rights, please contact us. In order for us to deal with your request efficiently, please provide:

  • Sufficient information to allow us to identify you;
  • Evidence of your identity and your address (for example, a copy of your driving licence or passport);
  • As much information about your request including, if applicable, dates, specific documents or animal names.

We will keep our privacy policy under regular review. Any updates will be provided in practice and on our website.

 

5. What Personal Data Do You Collect and why?

We may collect some or all of the following personal data (this may vary according to your relationship with us):

  • Identity Data may include your first name, maiden name, last name, username, title, gender.
    We collect this data so that we can identify you and personalise our communications with you.
  • Contact Data may include your billing address, delivery address, email address, telephone numbers and in certain circumstances, your employer.
    We collect this data so that we can identify you, register your animal with our practice send reminders, correspondence and information about our services directly to you and to send information about local animal health issues.
  • Financial Data may include your bank account and payment card details. We do not hold any of this data, except in the case of health plan members where is required that we keep the original contract.
    We collect this data so that so that we can receive payment for the services we provide, where applicable.
  • Insurance policy number – We collect this so that we can communicate with your animal insurance provider if applicable.

We also process information about your preferences (e.g. preferences to see certain vets) and interests (e.g. for services/products we may provide such as the health plan) for the purpose of fulfilling our service contract.

 

6. How Do You Use My Personal Data?

Under the GDPR, we must always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it.

Your personal data may be used for one of the following purposes:

  • Providing and managing your account.
  • Supplying our services to you. Your personal details are required in order for registration with the practice. This is a legal requirement in the medical treatment of animals
  • Personalising and tailoring our products and services for you, such as our health plan.
  • Communicating with you. This may include responding to emails or calls from you.
  • Supplying you with information by email, telephone, text or post that you have opted-in to. You may unsubscribe or opt-out at any time by emailing us at enquiries@strandvets.com, or by managing your preferences on our website portal.

With your permission, we may also use your personal data for marketing purposes, which may include contacting you by email, telephone, text message and post with information, news, and offers on our products and services. You will not be sent any unlawful marketing or spam. We will always work to fully protect your rights and comply with our obligations under the GDPR and the Privacy and Electronic Communications (EC Directive) Regulations 2003, and you will always have the opportunity to opt-out.

Legitimate interests:

We standardly contact owners about vaccine reminders, parasite treatment reminders, appointment reminders, health check reminders and reviews and surveys. We feel that this is necessary for us to be able to perform our service contract with you. You can change your preferences with how you wish to be contacted and you can also opt out of any or all of these reminders at any time.

 

7. How Long Will You Keep My Personal Data?

We will keep your Personal Information for as long as you are a client of our Practice and thereafter for as long as any legal claim may be made against the Practice, or our colleagues and for as long as is required to comply with our legal and regulatory requirements including to the Tax office, the VMD and the RCVS.

 

8. How and Where Do You Store or Transfer My Personal Data?

We will only store or transfer your personal data in the Isle of Man and UK. This means that it will be fully protected under the GDPR.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know such data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

 

9. Do You Share My Personal Data?

We may have to share your personal data with the parties set out below for the purposes of fulfilling our service contract. These third parties include:

a)   Other Veterinary practices
This may be for second opinion or referral, or in cases where you have changed practices.

This is so that we can arrange tests, treatments and services and obtain results on your behalf.

So that we can obtain permission to perform certain investigations and treatments at their expense. To arrange payment for investigations and treatments provided.

d)   Debt collection agencies
If you fall behind with payments for the services we provide, we may engage a debt collection agency to recover the debt on our behalf.

In our case the main one of these is our practice management system Robovet.

This includes lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services.

g)   Tax regulators and other authorities based in the Isle of Man and other relevant jurisdictions who require reporting of processing activities in certain circumstances

h)   Microchip database companies
We use a third party called Vet Envoy to process all microchip registrations electronically to the global database. This allows accurate and swift data transferral.

If any of your personal data is required by a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law, as described above in Part 8.

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.
